EKU started with FormFusion when they started with Banner. It gave them a clean break with the old, helped them almost entirely replace pre-printed forms, and allowed them to use fold/seal forms in as many places as possible. Furthermore, it allowed them to build the data they needed into their output from day 1.
 
They report about their PO, “[it is] easy to read, comes out in multiple copies from multiple trays, has specialized information on the different copies and has information not available on the standard Banner PO. The benefit to the university is that we have a professional looking PO that is customized to the needs of all the employees who use them on a regular basis. I believe the best feature is the CaptureForm capability…to add information to a Banner report that wouldn’t normally be there is very powerful and allows a large degree of customization.”
 
About their A/R Receipt, EKU reports, “The regular receipt was in an unreadable font, and often gave the receiver the idea that their balance was zero as a result of the transaction. It didn’t look ‘official’. Now, the receipts are easy to understand and have the person’s current balance. [We] see the new receipts as a way to provide our students with better information. By adding their current balance, and improving readability, we improve the service we provide them.”
 
“One of the nicest benefits was that we were able to stop ordering paper stock that had custom information printed on it. All our special information (like department address, logo and name) are now printed straight out of Banner. In general, the benefits are that we are able to provide professional, customized documents from Banner, without modifying any of the baseline product.”

The primary purpose was to allow distributed printing of POs. Previously, they were either hand filled on pre-printed forms (which also presented a security concern), or were printed within the Purchasing Services Department, since only they had the software to print POs from Banner-supplied data. Concordia reports, “The form design was intended to reflect what the pre-printed paper forms looked like before, both in appearance and data.”
 
Of particular note: Concordia produces many dual-language documents, as they have the need to produce output in both English and French. The product supports a wide-range of fonts, so this was accomplished with ease.
 
Technically, Concordia did start with modified ProC code, and once their programming was done, they went on to, “…the graphical design (using the old forms as a template) and the field mappings were completed.” They proceeded to use the E-mail Director option to “allow the user to e-mail themselves a .pdf copy of the documents so that users without access to networked printers (or were unwilling to make them public so they could print from Banner) [could easily print the documents if necessary].”
 
Concordia states, “The biggest benefit was the reduced amount of direct intervention required by the purchasing services Department. As part of a larger decentralized purchasing initiative, almost 80% (by dollar amount) of all purchases are entered directly through Banner without going through Purchasing, greatly improving the turn-around time for purchases, and freeing staff for other important tasks. This would not have been possible if it weren’t easy for each department to print their own documents.”
 
They went on to say, “…it is accepted that the combination of Banner & FormFusion has significantly improved the speed of the purchasing process, as well as reducing costs of outsourcing (either by pre-printed forms, or to get vendor support for the prior PO printing solution). Speed and control over the design process was a huge improvement over the previous system which required intervention by the vendor to make changes, as well as the ability to use relatively unmodified repot output (versus flat data-file for the other system) significantly improved the flexibility of what we could do.”

Western Kentucky University (WKU) wanted to get away from pre-printed forms, add much needed Banner data to their PO, and they wanted three different copies all printed on different colored paper.
 
Technically, WKU did the following, “In order to create 3 different POs for the same PO#. To do that, I needed to set up 4 PCL forms (FormStamps). One that was the base form and the other 3 that will overlay it. I used the paper tray feature in the Special Print Parameter properties for each copy. On some of the copies, I needed to list the requisition numbers, indexes and amounts. To do this, I used the Capture Form folder to set up queries to obtain the data I needed. Because you could have multiple requisitions to a PO, I needed to place them in the form in a 2 column format. I also needed to add the buyer name, buyer phone number, ship to code and PO class description.”
 
WKU reported that one of their biggest improvements was printing individual copies on inexpensive colored stock pulled from different trays. “It also saved on phone calls for additional lookup on Banner for the requisition information [since it’s now right on the PO].” The best feature was, “Obtaining additional information that was not originally on the Banner report by using CaptureForm.”
 
As for their custom 1099IRS, WKU wanted to leave pre-printed forms behind, and use blank fold/seal forms to avoid the need for envelopes. The form was built in the following way, “I needed to set up 2 PCL forms (FormStamp) for the front of the form and then to print a message on the back of the form. The form we were using was a tri-fold. I was able to print 2 sets of 1099 data Copy 2 and Copy E as well as the address on the front and on the back contained the message about the 1099. Since this was not a pre-printed form, I used the draw lines and draw rectangular objects extensively.”
 
WKU also noted great satisfaction with being able to save their staff the time required to stuff innumerable envelopes with costly pre-printed forms.

The client had an in-house process they built into Banner that pre-supposed a pre-printed form, and only offered line-printed alphanumeric output. It was not pretty. According to Stetson, “Inserting logos, mapping the form from Banner, and giving it a polished look were my main objective. [Now] the report is more reader friendly. It has a more professional look to it. Benefits are areas for notes to be made. When the document is returned, it’s easier to insert charges and other information into Banner.

Truman state was a brand-new client when they sent in their purchase order for review. It was built quickly, for a rapidly impending Banner implementation, and there was not a lot of time for Truman to undergo training and get acquainted with the product. Despite that, the selection committee enjoyed the nice, clean look, the thoughtfully placed data, the selective (yet effective) use of ‘bold’ and different fonts, and the unconventionally placed ‘terms and conditions’ (directing the viewer to their website for further information). It is an excellent example of a functional and professional form, built quickly, that is light-years ahead of the alternatives. We look forward to seeing what else Truman builds in the coming years.

Northland wanted a nice-looking, professional, receipt that had some added data fields, watermarks to indicate multiple copies, and they wanted to save resources by printing it on smaller sheets of paper. “Basically it is the same template as Evisions’, except for the overlay on copy 2 that states, ‘Business Office Copy’ and the SQL scripts to determine Account Balance. We are also printing this to a custom cut 8.5”X4” sheet of paper that pulls from the envelope feeder.” According to the user, “I like everything about FormFusion so far!!! You can customize just about anything you want. Change your output to make it look however the users request. Change fonts, layout, create new fields, pull anything from the DB! Great Product!”

Like many clients, Marshall wanted to change their TSRCBIL (student schedule/bill) to fit their particular needs. According to their staff, “We are term specific here, so the ‘amount due’ was a problem. We ended up writing SQL to make the amount due either the ‘current term balance,’ or, if the current term balance was negative, zero. We also included a variable for ‘room assignment’ because our students and parents have found this helpful in the past. The most important thing we included was the entire reason we started the project. We built a scanline for our lockbox servicer which included ‘Due Date’, ‘ID Number’, ‘Term’ and ‘Amount Due’. This version is much more cosmetically appealing and easier to read than the "canned" version. Eleven thousand of them went out this week.”

When NOCCCD made the switch to Banner, they were used to a legacy system that only allowed for 2 rosters. By using Banner, along with the design, printing, and data capture capabilities of FormFusion, they were able to create many more (and drastically better) rosters. According to NOCCD, “With Banner and Evisions, we were able to create the various kinds of rosters wanted by them as well as the instructors. These rosters include, but are not limited to: temporary, attendance, no-shows, grades, withdrawal and end of term rosters.” They went on to say, “We had already been printing electronic forms for the [individual] Colleges, so the benefits were already well known. No longer did we have to pay high dollars for someone else to create forms, and of course all the storage needed for that. The biggest benefit was that we could create very easily the many rosters that were needed! And if changes were necessary, it could be done in a timely manner with no wasted old forms that had to be thrown away.”
 
As for ease of use, NOCCD says, “Being able to change the grid, snap to grid [was great in creating a form]. CaptureForm is great in that you can bring in more data than the original report! The entire suite of products is very easy to use!”
