Every document your ERP produces, finished and delivered without a workaround
Aid letters, invoices, transcripts, and offer letters come out of Banner or Colleague the way each office needs them, branded and sent by email, portal, or print, with nobody merging by hand or loading pre-printed stock. FormFusion works on the output the ERP already produces, so nothing about the ERP changes and nobody learns a new system.
What is FormFusion?
Automation for the document processes you already run
FormFusion takes what your ERP already produces and finishes the job. It adds the fields the baseline template cannot carry, applies your branding and layout, and delivers by encrypted email, portal, imaging system, e-signature, or print. The process inside Banner or Colleague does not change, and nobody learns a new system.
The formatting is the visible part. The value is in what comes out of the process: manual steps removed, print and postage replaced with electronic delivery, and hours returned to staff who were doing it by hand.

Verified for SaaS on Banner and Colleague
Ellucian has verified FormFusion for SaaS deployments of both Banner and Colleague, so it runs whether your ERP is on premises, already in Ellucian's cloud, or partway through the move.
The situation
Every one of these was a reasonable workaround at the time
Institutions run the same Banner and Colleague processes for years and build accommodations around what the baseline output cannot do. Each accommodation belongs to one office, is small enough to live with, and never gets counted.
01
Pre-printed stock, in more than one cabinet
Ordered, stored, counted, reordered, and thrown away whenever a design changes. Finance has some. So does the registrar. Nobody owns the total.
02
The formatting step only one person can do
They know which fields go where and which quirk to work around. When they are out, the process is out, and nobody has written down what they know.
03
Print and postage as a standing line item
It renews every year because the alternative was never scoped. The cost is split across four departmental budgets, so no one office sees the full total.
04
An upgrade broke it and the workaround became permanent
Something changed in the ERP, somebody built a manual step to get through the term, and the manual step is still there three years later.
05
Nobody has added them up
Each process is defensible on its own. Seen together, from a seat that spans the institution, they are a budget line and a staffing problem that no single department was ever going to raise.
No change management
Modernize the output without touching the process
The objection to any document project is that it becomes an ERP project. FormFusion does not work that way. The process your staff run in Banner or Colleague stays exactly as it is. FormFusion intercepts what comes out and finishes it.
That matters most for the people who never asked for a new system. There is no retraining, no new screen, no change to the way a bill or an award letter gets generated. The document that arrives at the other end is the only thing that changes.
- Adds the fields, tables, logos, and layout the baseline template cannot carry
- No change to the ERP process, and nothing new for staff to learn
- Conditional content, so one configured process handles every variant instead of a template per case
- Works against Banner and Colleague, on-premises or in the cloud
- Does not require Argos
“We do not have to do these manual processes anymore.”

Where the hours go
The manual steps come out of the process
Document work is rarely one task. It is the retrieval, the merge, the check, the file, and the send, repeated a few thousand times in the weeks the office has least room for it.
Configure it once and it runs on a schedule with nobody watching. The people who were doing it by hand are still doing the work that needed judgment, and none of the work that did not.
- Produced on a schedule, unattended, including the runs that used to wait for somebody to be at their desk
- Conditional content, so one configured process handles every variant instead of a template per case
- No formatting step that only one person can do, and nothing that stops when they are out
- An audit trail of what was produced, when, and for whom
“In the first year after implementation, we saved over $88,000 in printing costs and postage alone. We saw reduced personnel time necessary to process our bills.”
Jill Kirkpatrick · Bursar · Southern Illinois University
Delivery
Where the document goes
Producing the document is half of it. The other half is getting it to a student who has moved twice, a vendor who requires paper, and an imaging system that wants it filed a particular way.
Delivery is configured per process rather than per document, and a single run can take different routes for different recipients. Print stays available for the partners who still require it.
- Password-protected encrypted email, for anything carrying student or financial detail
- Student and employee portals, so the document is retrievable later instead of gone once it is sent
- Third-party imaging systems or a network folder, filed the way your records office expects
- DocuSign for anything that needs a signature back. Requires your own DocuSign account.
- Direct to printer and source tray, including pre-printed stock where a process still needs it
- Pulls the data it needs whether your systems are on-premises, cloud, or a mix
“Prior to FormFusion, we outsourced our 1098Ts. By using FormFusion, we were able to bring the process back in house for better control, and we saved money.”

Accessibility
One place to control structure across every document you send
Documents produced by hand are remediated one at a time, by whoever made them, to whatever standard they understood. A configured process puts structure, content, and delivery in one place, so a change lands everywhere that process runs.
So ADA Title II conformance is handled once, in one place, for every document that process produces. The deadlines are April 26, 2027 for public entities serving 50,000 or more and April 26, 2028 for smaller ones, against WCAG 2.1 Level AA. Ask us what the output supports for your specific document types, because the answer varies by format.
- One point of control over structure, content, and delivery across every process you configure
- Change a layout once instead of remediating documents one at a time
- Applies to every office at once rather than to whichever one is asked first
- Works with Banner SaaS. An API FormDirector maintains eTranscript compatibility by sending output to an API endpoint instead of a printer or email queue
- Professional Services scopes what the move involves for the rest of your document processes
Where this fits
You do not have to replace the document tools you already run
Most institutions already have something touching documents: an imaging system, an e-signature tool, a forms platform, or a contract that has two years left on it. Very little of that needs to go.
Your imaging and e-signature systems
Keep them
Banner Document Management, Xtender, Perceptive, OnBase, DocuSign. These are systems of record and workflow, and they do that job well.
FormFusion beside them
FormFusion is what produces the document in the first place and hands it off. Format it, brand it, add the fields the baseline template cannot carry, then deliver it into imaging, into DocuSign, into an encrypted email, or to print.
A forms platform you are under contract for
Keep it for
Inbound forms, e-signature routing, and the workflows your staff have already built. Switching those mid-contract is rarely worth it.
FormFusion beside it
Outbound high-volume documents are a different problem. Purchase orders, student bills, transcripts, aid letters, and tax forms produced from ERP data on a schedule, at volume, without a person formatting each run.
Your ERP's baseline templates
Keep them for
The documents that already fit inside what the delivered template supports. If it works, leave it.
FormFusion beside them
The ones that do not fit. A purchase order that needs terms and a logo, a bill that needs a payment plan breakdown, an award letter that needs the counselor's name and a deadline the template has no field for.
Your transcript vendor
Keep it for
Transcript ordering, payment, and routing to the receiving institution. If students already order there, leave that in place.
FormFusion beside it
Formatting and delivering everything that is not a transcript, from the ERP output you already run: bills, award letters, verifications, purchase orders, tax forms, and the documents the vendor was never built to produce.

In their words
What institutions built with it, and what they stopped outsourcing
Each of these designed the document they wanted instead of accepting what the baseline template produced.
“
We thought about just using the Banner PO format, but we wanted to use a format that worked best for our District.
Brigit Espinosa, Executive Director of General Services
West Valley-Mission Community College District
General Services
A district purchase order the baseline ERP format could not support, designed and implemented as a packaged process later offered to other institutions.
Outcome
Scholarship notification and payment for more than 400 ROTC recipients running through a single automated process instead of two parallel manual ones.
“
As Registrar, my mantra is to automate any and all functions where possible.
Steve Voudouris, Registrar
Holmesglen Institute of TAFE
Student Administration
Automated daily communications replaced mailed notices and invitations, improving timeliness and student response while cutting postage and paper.
Outcome
A standardized transcript process across campuses, with unofficial transcripts available to students on demand around the clock. Just over 3,500 issued in a year.

How it fits
Where this sits relative to what you already run
With your ERP
Your ERP decides what the document says. FormFusion decides what it looks like, what else it carries, and how it gets there. It pulls the data it needs whether your systems are on-premises, cloud, or a mix.
Alongside Argos, if you have it
A reasonable question, since both can produce communications. They are separate products doing separate jobs, and each reads your ERP directly. Argos answers questions against your data and builds the reports and applications your offices run on. FormFusion takes ERP output and turns it into the finished document. Institutions that own both use each for what it is built for. Neither one depends on the other.
Through a move to Banner SaaS
FormFusion works with Banner SaaS. An API FormDirector maintains eTranscript compatibility by sending output to an API endpoint instead of a printer or email queue. Our Professional Services team inventories the rest of what you produce, tells you what carries over and what needs work, and scopes it with you before anyone commits to a date.
Trust and security
You take security seriously. So do we.
The Trust Center is published and the HECVAT is available on request, so a reviewer can start before anyone schedules a call.
Secure delivery
Read-only PDFs through password-protected, encrypted email, with a record of what went out and when.
Authentication
LDAP group sync and SAML SSO configured once at the MAPS layer, with permission tiers set per product in the same place, by the same team.
Data handling
FERPA-aligned practices and encryption in transit. Documents carrying student or financial data are delivered by encrypted, password-protected email or to a secure portal, never as an open attachment.
Retention and imaging
Documents fed into third-party imaging systems or network folders, supporting state and federal retention requirements and turning retrieval into a search.
Accessibility
Central control over document structure, content, and delivery, which is what makes WCAG 2.1 AA conformance achievable instead of a per-document remediation project.
Documentation
Trust Center at trust.evisions.com, a published accessibility statement, and a HECVAT (the standard higher education security questionnaire) on request.
Frequently asked questions
Questions we get asked first
Do we need Argos to use FormFusion?
No. They are separate products doing separate jobs, and each reads your ERP directly. Many institutions own both and use each for what it is built for. FormFusion does not require Argos.
Does this change how our staff work in Banner or Colleague?
No. The process inside the ERP stays as it is. FormFusion works on what comes out, so there is no retraining, no new screen for staff, and no rebuild of the underlying process.
Can we include data our baseline form cannot carry?
That is the most common reason institutions buy it. You are not limited to the fields in a pre-built template, and conditional content means one configured process can handle every variant instead of a template per case.
How do students receive documents securely?
Password-protected, encrypted email, or through your web portal. Both leave a record of what was sent and to whom.
Can documents go into our imaging system?
Yes, directly, along with network folders, which removes the print, scan, and index cycle.
Can we still print when we have to?
Yes, to almost any printer and source tray, with the right stock in the right tray automatically. Some recipients still require paper and nothing here assumes otherwise.
Does it work with DocuSign?
Yes, for anything requiring a signature back. It requires your own DocuSign account.
Can one run deliver different ways to different people?
Yes. Delivery is configured per process, and a single run can route electronically for the recipients who accept it and to print for the ones who do not.
Is there a limit on documents or recipients?
No. There is no per-document or per-recipient charge.
Does this make our documents WCAG compliant?
It gives you central control over structure, content, and delivery, which is what makes conformance achievable instead of a per-document scramble. Support varies by document type and output format, so ask about yours.
Will this still work after we move to Banner SaaS?
Yes. In Banner SaaS, an API FormDirector maintains eTranscript compatibility by sending output to an API endpoint instead of a printer or email queue. Our Professional Services team inventories what you produce now, tells you what carries over and what needs work, and scopes it with you before anyone commits to a date.
How much work is it to set up a document process?
It depends on the document, and Professional Services scopes it. Once configured it runs unattended, and your end users generally will not know FormFusion is involved.
We are already under contract with another document platform.
Then keep it. FormFusion runs alongside forms platforms, imaging systems, and e-signature tools instead of replacing them, and most institutions running it have at least one of those. Tell us what the incumbent does well and what it will not do, and we will tell you whether the gap is worth filling now or at renewal.
Who will we be working with?
People who have done your job. Our consultants and support staff came from campus IT and institutional reporting before they worked here, because higher education is the only sector we build for. Support is in-house, with no outsourced agents, and it is the thing customers raise unprompted more than anything else about us.
What does it cost, and can we talk to an institution like ours?
FormFusion is licensed per institution rather than per user, and price is driven by institution size instead of by how many documents you produce or how many people run the processes. Tell us your FTE and which document processes you are starting with and we will give you a real figure on the first call.
