IntelleCheck

Every check and direct deposit advice leaves the ERP finished, signed, and accounted for

Blank stock, MICR, signatures, and positive pay are handled inside the run, so Finance issues payments from your ERP without a cabinet of pre-printed stock, a print job somebody retrieves, or a signature waiting on a person at a desk. Fewer touchpoints, fewer places a payment can be altered, delayed, or lost.

What is IntelleCheck?

Fewer touchpoints, and a record of every one that remains

IntelleCheck produces accounts payable and payroll checks, student refunds, direct deposit advices, and Positive Pay files through one controlled workflow, from your ERP to the recipient. The manual steps in between come out. Nothing depends on a person carrying a file from one stage to the next.

Checks print on blank check stock with signatures and MICR applied under rules you set, so there is no pre-printed, pre-numbered stock to store or count. Reprints and voids are controlled and recorded. Months later, an auditor asking who did what and when has an answer.

Verified for SaaS on Banner and Colleague

Ellucian has verified IntelleCheck for SaaS deployments of both Banner and Colleague, so payment runs keep their controls whether your ERP is on premises, already in Ellucian's cloud, or partway through the move.

The situation

Trace one run and count the places it stops

Most finance teams have never mapped their own check process end to end, because nobody has had a reason to look since it was set up. The map is usually shorter than people expect and has more stops than they are comfortable with.

01

Stock in a cabinet somebody is supposed to count

Purchased, stored, reconciled, reordered, and thrown away whenever a design changes. The control depends on a log that gets filled in from memory.

02

A file crossing the network between systems

It exists, briefly, somewhere neither system owns. Nobody watches it, and nobody would know if it changed.

03

A signature waiting on somebody to be at their desk

Routine disbursement becomes an escalation because one person is traveling, and it happens at month end more often than any other week.

04

A stack of printed checks between the printer and the mailroom

The most valuable paper in the building, sitting in the open on the way to somewhere else.

05

A reprint nobody can evidence

It was reissued for a good reason. Six months later the good reason is not written anywhere, and the person who knows has moved offices.

Fewer touchpoints

The manual steps come out of the run

IntelleCheck runs inside your ERP environment rather than beside it. There are no exports, no imports, and no file handed between systems, so the stages where something could be altered or delayed stop existing.

Blank check stock replaces pre-printed stock, which removes the pre-numbered boxes, the count, the reorder, and the obsolete stock after a design change. Signature rules are applied by the system rather than waited on, so a run keeps moving when a signer is away.

  • Runs inside the ERP environment, with no transfers between systems
  • Blank check stock instead of pre-printed stock, so there are no numbered boxes to secure, count, or reorder
  • Conditional signatures applied by rule, with dollar thresholds you set
  • Accounts payable, payroll, student refunds, and direct deposit advices in one process
  • Nothing waits on a person to move it to the next stage

Accountability

Who did what, when, and can you show it

The audit questions are specific. Who authorized this reprint. Who applied the signature. What changed between the batch and the file that reached the bank. A process built from manual steps answers those from memory, and memory is not evidence.

Every action in the run is logged and attributable. Reprocessing is controlled rather than improvised, so a reissued payment has a reason attached to it that is still there when somebody asks.

  • Complete audit trail of what was produced, when, by whom, and against which batch
  • Controlled reprints and voids, each with a recorded reason
  • Positive Pay files generated from your own data rather than assembled by hand
  • MICR alignment handled by the system rather than checked by eye
  • Reporting on the run itself, not just on the payments in it

One workflow

Checks, advices, refunds, and the bank file are one run

Checks, advices, refunds, and the bank file are not separate projects. They are stages of one disbursement, and treating them as one workflow is what removes the handoffs between them.

Students choose how a refund reaches them, which supports alignment with Department of Education requirements for distributing Title IV funds. Employees get direct deposit advices as encrypted, password-protected documents rather than printed paper. The Positive Pay file goes to the bank from the same run that produced the payments.

  • Accounts payable, payroll, student refunds, and direct deposit advices in one controlled workflow
  • Student refunds through BankMobile, with the student choosing delivery
  • AES-encrypted password-protected advices rather than printed paper
  • Positive Pay produced from the same run, not reconstructed afterwards
  • Scheduled and unattended, so the run does not depend on who is in the office

The cost case

The savings that make it easy to approve

Pre-printed, pre-numbered stock goes away, and with it the reorders, the obsolete boxes after a design change, and most of the counting. Blank check stock and MICR toner remain, but they are generic and cheap to hold. Processing time compresses, because conditional signatures and the removal of file retrieval take out the two steps that most often stall a run. Fewer documents go missing, because a digital trail replaces a physical one.

  • Pre-printed stock, its reorders, and its obsolescence removed; secure storage and counting greatly reduced
  • Two of the most common holdups in a run eliminated
  • A searchable digital trail in place of a physical one
  • Complete control over check design, including custom images and logos, for both accounts payable and payroll output

Where this fits

This does not mean leaving your bank or your ERP

Check processing usually already involves a bank, an ERP module, and a set of manual steps between them. The question is which part is causing the problem.

Your bank's check service

Keep the relationship

The banking relationship, the account structure, and the reconciliation your treasury team relies on. All of that stays as it is.

What IntelleCheck adds

Control on your side of it. Your own check design and signature rules, reprint and void handling with a record of who did what, and the Positive Pay file generated from your data rather than assembled by hand. Institutions that keep bank printing for one account and run IntelleCheck for another are common.

Your ERP's native check process

Keep it for

The AP and payroll runs it already handles cleanly, and the modules your staff know.

What IntelleCheck adds

Blank stock instead of pre-printed, conditional signatures with dollar thresholds, controlled reprints and voids, direct deposit advices, and one consistent output across accounts payable and payroll instead of two processes that drifted apart.

A general-purpose check printing tool

The situation

Built for a corporate finance department, sold to everyone, and unaware that student refunds, Title IV timing, and an ROTC invoice exist. Integration with your student system is somebody's custom work.

What changes

A process built against Banner and Colleague, covering AP, payroll, refunds, and advices in one place, with the audit questions a higher education business office gets asked already answered.

Preparing runs by hand

The situation

Stock in a locked cabinet with a log nobody reconciles. A file crossing the network between systems. A signature waiting on somebody to be at their desk. A reprint that leaves no trace.

What changes

Nothing sits on paper before it is signed, nothing crosses the network in between, and every reprint, void, and signature is attributable after the fact.

How it fits

Where this sits relative to what you already run

With your ERP

IntelleCheck runs inside your ERP environment rather than alongside it, which is what removes the file transfers. Your ERP remains the system of record for the payable, the payroll, and the student account. Support specifics vary by environment, so tell us what you run.

With your bank and your existing controls

Positive Pay integrates with your bank's existing program. Role-based permissions inside the software support the separation of duties you already have instead of asking you to redesign it.

Through a move to Banner SaaS

In Banner SaaS, the IntelleCheck FormDirector formats the input file and hands it to IntelleCheck, so check and direct deposit processing continues at no additional cost. Professional Services scopes the rest of the move before anyone commits to a date.

Trust and security

You take security seriously. So do we.

The Trust Center is published and the HECVAT is available on request, so a reviewer can start before anyone schedules a call.

Nothing sits between steps

On-premises, IntelleCheck runs inside the ERP environment with no transfers, imports, or exports between steps. In Banner SaaS, the FormDirector hands the run directly to IntelleCheck. Either way, no payment sits unattended in a file somewhere waiting for a person.

Positive Pay

Included rather than sold separately, and integrated with your bank's existing program.

Audit trails

Who logged in, when, and every payment they processed, plus visibility into other users' access where the role permits.

Separation of duties

Role-based permissions inside the software support your existing controls rather than replacing them.

Encrypted delivery

Direct deposit advices as AES-encrypted, password-protected PDFs, formatted with your data fields and sent on a schedule.

Documentation

Trust Center at trust.evisions.com, and a HECVAT on request.

Frequently asked questions

Questions we get asked first

Which ERP environments does IntelleCheck support?

Support specifics vary by environment. Ask about yours.

Do we need Argos to use IntelleCheck?

No. They are separate products with separate purposes, and either works without the other.

Do we need FormFusion?

Not on-premises. In Banner SaaS the IntelleCheck FormDirector is required, and it is provided to IntelleCheck customers at no additional purchase.

Is Positive Pay an additional cost?

No. It is included with your purchase.

Can we stop using pre-printed check stock entirely?

Yes, and that removes the storage, security, counting, and reorder cycle with it. Design changes are made by us instead of by reordering stock.

Can we keep control of check design?

Yes, including custom images and logos, for both accounts payable and payroll output.

How do employees receive direct deposit advices?

As AES-encrypted, password-protected PDFs by email, formatted with your data fields and delivered on an automated schedule.

Can students choose how they receive a refund?

Yes, through BankMobile's Refund Management service, with all payments transmitted by IntelleCheck. It requires a BankMobile agreement.

How do conditional signatures work without weakening control?

They remove the dependency on one person being at their desk while keeping the approval requirement itself, so a run keeps moving when a signer is away.

What does the audit trail capture?

Who logged in, when, and every payment they processed, plus visibility into other users' access where the role permits.

Does this help with Title IV compliance?

It supports alignment with Department of Education requirements for distributing Title IV funds. Your policies and procedures remain yours.

Is there a limit on payment volume?

No. There is no per-payment charge.

Is this only about check printing?

No. Most of the value is in the surrounding workflow: accounts payable and payroll producing consistent output, direct deposit advices, controlled reprints and voids, Positive Pay, and an audit trail across all of it.

Which ERPs does IntelleCheck support?

Banner, on-premises and in Banner SaaS. Support for other ERPs varies by environment, so tell us what you run.

How long does implementation take?

It depends on your environment and how many payment types you want live on day one. Professional Services scopes it with you.

Who will we be working with?

People who have done your job. Our consultants and support staff came from campus IT and institutional reporting before they worked here, because higher education is the only sector we build for. Support is in-house, with no outsourced agents, and it is the thing customers raise unprompted more than anything else about us.

What does it cost, and can we talk to a business office like ours?

IntelleCheck is licensed per institution rather than per user, and price is driven by institution size instead of by payment volume. Positive Pay is included rather than priced separately, and there is no per-payment or per-seat charge. Tell us your FTE and which payment types you run and we will give you a real figure on the first call.
