Financial Aid
Your counselors should be counseling
Exception lists arrive in front of the counselor who owns them, award letters go out formatted the day packaging finishes, and refunds reach students without four hands touching them. The hours go back to students.
The situation
The office absorbed more work and nobody backfilled the hours
Aid offices are being asked to hold service steady through FAFSA simplification, the 2026 federal loan changes, and whatever the next rulemaking brings.
NASFAA's Administrative Burden report, drawn from more than 900 institutions, found 91 percent of aid offices spending more time and resources per application than five years earlier, and more than half reporting resource shortages during peak periods, most of them permanent. The report's own conclusion is that the burden is crowding out direct student support and counseling, which is the work the office exists to do.
01
The ERP shows one student at a time
A counselor needs every disbursement hold and packaging exception at once. The aid module shows them one record at a time, so somebody builds the list by hand, and the student who was never on it is the expensive one.
02
Award letters are a mail merge somebody prays over
Export the data, set up the merge, run it, hope nothing shifted, then get a few thousand PDFs out the door. All of it during the exact week the office has the least capacity to spare.
03
The second question is another request
A director pulls unmet need by program. The provost asks how it looks for first-generation students. That is a new request, a new queue position, and a budget conversation that has already moved on.
04
A late refund is call volume to you
Your office experiences the delay as a phone queue. The student experiences it as rent.
Governed self-service
Today's exceptions, in front of the person who owns them
Your report writer, in IT or in the aid office, builds the exception list once: the eligibility rules, the thresholds, and who is allowed to open it. From then on a counselor runs it, filters it, and exports it without seeing the aid module's schema or holding a database login.
The same list can be opened as a report, a dashboard, or a plain-language question, and the director decides who gets each one without a ticket to IT. It runs against your data source directly, with no extract to refresh.
Aid offices take this past reporting. ISIR tracking, Pell recalculation, and verification and disbursement tracking get built as working applications on the same objects, so a counselor works a list instead of reading a report and then going somewhere else to act on it. Applications that write back to the ERP are on-premises only, so bring the specific process and we will tell you what is possible in your environment.
- Verification, packaging, SAP, and R2T4 worklists built once and permissioned to the counselors who work them
- No ERP login required, with unlimited users under the institutional license
- Scheduled delivery so the list arrives instead of being requested
- Dashboard Designer builds and shares aid dashboards from the browser, readable on a phone
- Cohort and eligibility definitions saved once and run the same way in a future year, which is what a program review asks for
“Argos has made these processes work so well that we're able to walk away from them and trust that they'll run on their own.”

The follow-up question should not cost another week
A director pulls unmet need by program for a scholarship reallocation. The provost asks how it looks for first-generation students specifically. Under the current arrangement that is a second request.
Argos Data Agent answers that question in plain language against governed aid data, and shows the SQL behind the result, so the director can verify the definition matches the official one before the number reaches the cabinet. Pivot Mode and Explore Data let anyone reshape a result without writing a query.
- Argos Data Agent for plain-language questions, with the SQL visible
- Pivot Mode and Explore Data for reshaping and exporting without a new report request
- Answers grounded in governed objects and existing permissions, not an uploaded spreadsheet
- Zero Data Retention, with masking and redaction available on sensitive fields
- Dashboard Designer, Explore Data, and Pivot Mode are included with Argos at no additional cost
- Argos Data Agent is licensed separately, in Core and Advanced tiers
“We really appreciate being able to request the data we need and get it in a format that we can generate easily on demand.”
Lisa Seals · Director of Financial Aid · Imperial Valley College
FormFusion
The award letter is the highest-stakes document you send
It is also the one most often assembled by hand. FormFusion adds the data fields your baseline template cannot carry, applies your branding, and lays the document out so it makes sense to a family reading it for the first time.
Then it delivers, on its own. Password-protected encrypted email, your student portal, your imaging system, DocuSign, or paper when it has to be. Configure the process once and it runs unattended through peak.
- Award letters, revision notices, verification requests, and consumer disclosures
- Fields your ERP's baseline form cannot accommodate, including calculated and conditional content
- Delivery into a CRM or imaging system, or an encrypted inbox, or all three
- Fewer inbound calls, because a document that answers the question does not generate one
- FormFusion does not require Argos. Offices that run both use each for what it is built for: Argos to answer questions against your data, FormFusion to turn ERP output into the finished document.
“They used to print everything out of Access, and then the letters were just gone. Now they're stored, retrievable, and even available to students in Slate before they've deposited.”

IntelleCheck
Refunds that reach students without four hands touching them
Between the ERP and the student there is usually a file crossing a network, a signature step that stalls when the signer travels, and a stack of printed checks on a desk. Most offices have four or five of those points and have never counted them.
IntelleCheck runs inside your ERP environment, so there are no transfers, no imports or exports, and no batch processing leaving payments unattended. Students choose how they receive a refund through BankMobile Refund Management, and IntelleCheck transmits the payments.
- No pre-printed check stock, and no storage, counting, or reorder cycle with it
- Positive Pay included rather than sold as an add-on
- Complete audit trails covering who logged in, when, and every payment they processed
- Conditional signatures, so a run keeps moving when a signer is away
- Supports alignment with Department of Education requirements for distributing Title IV funds
- Runs inside your ERP environment. Tell us which one you are on and we will confirm exactly what is supported before you go further.
Award letters and refunds on a schedule
The exception list, the document, and the payment all run from the aid data already in your ERP. See the cycle automated in a demo.
In their words
Aid offices, during the weeks that matter
Each automated a process inside a financial aid or student services office that had been running on manual effort.
Outcome
Award letters are generated as PDFs and uploaded into Slate automatically, replacing an Excel-based manual process while the office was operating with reduced staff.

Student Services
More than 10,700 enrollment letters generated and delivered through an automated workflow, replacing manual retrieval, template population, and individual emailing during peak periods.
Outcome
Reporting built and governed in-house on Colleague, with staff outside the technical team running their own reports.

How it fits
Where this sits relative to what you already run
With your ERP's aid module
Your ERP remains the system of record for packaging and eligibility. Argos queries it directly through governed objects, FormFusion produces the documents it generates, and IntelleCheck moves the payments it authorizes. None of the three replaces it.
With Ellucian Insights
Insights aggregates data across Ellucian products on a managed data layer. Argos works directly against your own environment, covering dashboards through Dashboard Designer, conversational analysis through Argos Data Agent, compliance output, and scheduled delivery, on definitions your team controls. Most institutions run both.
Versus your current process
Today a counselor's worklist is a request, an award letter is a manual merge, and a refund is a file crossing a network. Each of those is a person's afternoon during the weeks the office has the fewest afternoons to give.
Trust and security
You take security seriously. So do we.
The Trust Center is published and the HECVAT is available on request, so a reviewer can start before anyone schedules a call.
Permissions are enforced, never overridden
A report can only be opened by someone your team has permissioned to run it. Permissions are enforced at the platform layer and inherited by folder, and a view is built for the role that needs it.
Authentication
LDAP group sync, SAML SSO, and permission tiers, configured once and applied across Argos, FormFusion, and IntelleCheck.
Production performance
Query queuing and priority keep reporting load from competing with disbursement processing.
Data handling
FERPA-aligned practices, encryption in transit, and AES-encrypted password-protected document delivery. For Argos Data Agent, masking or redaction of sensitive fields.
AI governance
Knowledge management for safer AI ranks fifth on the EDUCAUSE Top 10. Argos Data Agent operates under Zero Data Retention, honors existing permissions, and runs against governed objects instead of the raw aid database.
Documentation
Trust Center, and a HECVAT (the standard higher education security questionnaire) on request.
Frequently asked questions
Questions we get asked first
Does this work against the aid module in our ERP, or do we need a separate data mart?
It queries your ERP directly through governed objects. No warehouse or data mart is required first.
Can a counselor see only their own caseload?
It can be configured that way. Access is granted per folder and DataBlock, so a view built for one group is permissioned to that group and nobody else can open it, and the director's view carries the whole office. Your team controls that in one place, and the same model covers dashboards and Argos Data Agent. Restricting a shared object to each person's own rows is not how Argos works; the view is built for the audience that needs it.
Do counselors need a Banner or Colleague login to run reports?
No. Licensing is per institution with unlimited users, and report access does not require an ERP seat.
Can we produce the fixed-width files our state and federal submissions require?
Yes. Fixed-width and delimited extracts go to agencies without reformatting, and can be scheduled.
How do we reproduce a prior-year cohort definition for a program review?
Definitions are saved as governed objects and run the same way in a future year, which a query someone wrote once will not do.
What is included with Argos, and what is licensed separately?
Dashboard Designer, Explore Data, and Pivot Mode are included with Argos at no additional cost. Argos Data Agent is licensed separately, in Core and Advanced tiers.
What happens to aid data when someone uses Data Agent?
Argos Data Agent operates under Zero Data Retention, honors existing permissions, and supports masking and redaction of sensitive fields. It runs against governed objects instead of the raw database.
Do we need Argos to use FormFusion?
No. They are separate products doing separate jobs, and each reads your ERP directly. Offices that run both use each for what it is built for: Argos to answer questions against your data, FormFusion to turn ERP output into the finished document.
Can award letters include fields our baseline form cannot carry?
That is the most common reason institutions buy FormFusion. You are not limited to the fields in a pre-built template.
How do students receive documents securely?
Password-protected, encrypted email, or through your student portal. Both leave a record of what was sent.
Is Positive Pay an additional cost with IntelleCheck?
No. It is included.
Will this still work after we move to Ellucian SaaS?
Argos connects to Banner SaaS through the Ellucian Data Gateway and to Colleague SaaS through the Data Gateway and Ethos REST APIs. In Banner SaaS, an API FormDirector maintains eTranscript compatibility and an IntelleCheck FormDirector keeps check and direct deposit processing running, and IntelleCheck customers receive that component without a separate FormFusion purchase.
How long does implementation take?
It depends on how many processes you want automated on day one. Professional Services scopes it with you. The people doing that scoping ran campus IT and institutional reporting before they worked here.
What does it cost, and can we talk to an aid office like ours?
Licensing is per institution rather than per user, and price is driven by institution size and product mix rather than headcount. Argos, Argos X, FormFusion, and IntelleCheck all carry unlimited users and unlimited connections, with no per-connection or per-report charge and nothing billed for people who only read reports. The one exception is Argos Data Agent Advanced, which is licensed per seat. Data Agent Core is unlimited. Tell us your FTE and which products you are weighing and we will give you a real figure on the first call, then put you in touch with an institution of roughly your size and ERP. Ask them about support while you are there. It is in-house, and it is the thing customers raise unprompted more than anything else.
