The challenge

Weeks of manual work behind every program snapshot

Mountwest Community & Technical College was working to strengthen its data and reporting foundation. Following staffing cuts and a 15% reduction in force, the institution had operated for two to three years without dedicated leadership overseeing IT, Institutional Research, and its ERP system.

Banner training was limited, data standards were undocumented, and inconsistent data entry created concerns about data integrity. Without timely, dependable reporting, leadership had limited visibility into institutional performance.

Fewer students, fewer graduates

Enrollment down 20% and graduates down 69% from before to after the pandemic.

Data nobody could fully trust

Limited Banner training, undocumented standards, and inconsistent data entry.

Three to four weeks per cycle

SQL, Excel, Word, then a PDF for each program, during compliance deadlines.

A review of statewide data revealed a 20% decline in enrollment and a 69% drop in graduates from before to after the pandemic. Mountwest also had the lowest retention rate among West Virginia’s two-year institutions for five years between 2018 and 2023, along with the highest DFW rates for about four of the past six years.

Beyond enrollment and headcount

Leadership needed to understand what was happening within individual academic programs. For the first two years, producing annual program snapshots was entirely manual. An Institutional Research office of one had to run separate SQL queries, validate the data, move results into Excel, convert them into Word documents, and create final PDFs for each program.

The process took three to four weeks and coincided with major compliance reporting deadlines.

“We recognized that improving student outcomes required us to rethink our approach to student support, retention, and creating stronger pathways to success.”

The solution

Five years of program data, one repeatable report

Mountwest used Argos to transform its annual program snapshots into a streamlined, repeatable reporting process. A banded report generates a consistent PDF snapshot for each academic program.

The college built Argos DataBlocks that bring together five years of program-level data, including enrollment, FTE, withdrawals, persistence, retention, degrees awarded, average course headcount, returning students, and students who neither returned nor graduated.

Before With Argos
Separate SQL queries run for every program Argos DataBlocks with five years of program-level data
Results moved into Excel, then Word, then PDF A banded report generates each program’s PDF snapshot
Static reports and assumptions Shared definitions for persistence and retention
Students who did not return went unnoticed Automated Argos reports send Student Services contact information

Each snapshot also includes definitions for persistence and retention, giving faculty and leadership a shared understanding of the data. Departments can examine program performance, identify areas for improvement, and better understand where students may need support.

Reporting that reaches students

Mountwest paired this reporting work with changes across the institution, including revised withdrawal processes, expanded tutoring, additional advising resources, and automated Argos reports for Student Services. When students have not enrolled for the next semester, the department receives contact information for targeted outreach. Faculty can also identify students who did not return and connect with them directly.

“Argos was always the end goal. We already owned it, and it was a tool that I’ve trusted for years.”

The results

Program performance joined the academic conversation

With Argos, Mountwest reduced weeks of manual work to a process that takes less than 30 minutes. The college can now produce consistent program reports with only a few clicks, giving faculty and leadership more time to review the data, ask questions, and focus on student success.

Less than 30 minutes

Program snapshots, down from three to four weeks.

DFW rates down 13%

Overall, since 2021.

Closer to the state average

The DFW gap to the statewide two-year average narrowed from 10% to 2%.

From last to the middle

Course success rates among peers in the 2024–25 academic year.

About 47% retention

Fall 2024 cohort retention.

120+ dashboards

Dashboards and self-service resources across the college.

Faculty members are using the snapshots for assessment and requesting contact information for students who have not returned. The reporting process also gives Institutional Research more time to meet with faculty, answer questions, and help departments interpret their results.

Recognized by the state

Mountwest’s progress was recognized by West Virginia’s Data Policy and Advisory Committee for its work to improve student success. The state’s central office also recognized improvements in the timeliness and accuracy of the college’s compliance reporting.

“

I went from a month to being able to generate all of these program snapshots in less than 30 minutes. That is a win for me and a win for the college.

The future

More measures, and dashboards for academic leaders

Mountwest plans to expand its program snapshots with additional DFW data, National Student Clearinghouse information, and new benchmarking measures.

The college also plans to give academic leadership direct access to the Argos dashboards and continue applying the same reporting approach across enrollment management.

“Utilize your resources. Utilize Argos. For me, it saved me time. It saved me effort and really got me to where I am today.”
