Reaching business intelligence goals with Argos
Tri-C tried a costly BI package and a homegrown system before choosing Argos in 2011. It was running within a week, and an all-college dashboard now shows how every department contributes to student success.

The challenge
Two tries at analytics, and neither one scaled
Cuyahoga Community College (Tri-C) has, for years, been a higher education leader for its use of business intelligence and data. It took many years and a few missteps to get to a point where running reports was seamless and data was widely accessed across its four campuses.
When Tri-C first began to expand its analytics practices in 2005, it worked with a software package used in many fields, including business and higher education. But the implementation never expanded college-wide. After a year and a half, the college realized it had underestimated the costs of using the software on a large scale, and that expanding would be cost-prohibitive. End users also didn’t have the SQL writing skills needed to expand its use.
Too costly to scale
The first BI package proved cost-prohibitive to expand college-wide.
SQL skills required
End users lacked the SQL writing skills the software needed.
Rationed at peak times
With the homegrown system, users had to limit use during enrollment.
In 2007, Tri-C began developing a homegrown analytics system, which made more report data available, but at a cost to staff time and IT resources. During peak times like enrollment, users had to limit their use during certain hours of the day.
In 2011, Tri-C added two analytics databases for current and historical information to its Banner by Ellucian offering: Enterprise Data Warehouse (EDW) and Operational Data Store (ODS). They could expand Tri-C’s reporting capabilities, but the college needed a new reporting solution that could handle its needs.

The solution
Up and running in a week
After reviewing several solutions, Tri-C selected Argos by Evisions, first because of its ease of use. End users could hit the ground running from day one, without requiring SQL training.
Tri-C also wanted an enterprise license rather than one paid per user, as the college was planning to give access to hundreds of users. Argos, which allows unlimited users, presented the most affordable and accessible solution.
The Argos implementation in August 2011 took just a week. Report writers then looked to the Evisions CO-OP for help and inspiration: baseline reports and downloadable examples meant reports could be put into the hands of users very quickly. One report developer downloaded a complete dashboard from the CO-OP and modified it for use in less than a week.
“I love the CO-OP. I’ve downloaded other schools’ reports and letters and then modified them to meet my needs. It has saved a tremendous amount of time.”
Kim Nash-Yore · District Director of Student Financial Aid and Scholarships
| Before | With Argos |
|---|---|
| SQL writing skills needed to expand use | Users productive from day one, without SQL training |
| Costs that made a college-wide rollout prohibitive | An enterprise license with unlimited users |
| Use limited during certain hours at peak times | No restrictions on access to Banner or Argos at peak times |
Users no longer have any restrictions on when they can access Banner or Argos during peak times. Everyone can go about their daily routines as needed.
“
We’re really making a push to make decisions based off of data. Without Argos, we wouldn’t even be close to that goal. Right now we are.

The results
A state of the union for student success
Even more impressive than Tri-C’s smooth implementation is how the college has used Argos to meet its institutional goals. In 2013, the college decided one of its top priorities was to use metrics to measure student success and completion.
Tri-C created an all-college dashboard that gives any user a “state of the union” of how the college is doing at a given time, or year over year. It shows how every department and unit, from financial aid to facilities, is contributing to student success, with metrics such as crime incidents reported, help desk satisfaction, social media followers, textbook costs, enrollment, revenue, and more.
Now, every user better understands his or her role in contributing to student success at Tri-C. As the college increases its use of business intelligence in strategic planning, Argos is the solution that will guide Tri-C into the future.
Live in a week
The August 2011 implementation took just a week.
No peak-time limits
Users reach their data whenever their routines need it.
An all-college dashboard
Metrics from financial aid to facilities, at a given time or year over year.
Data checks on a schedule
Queries flag problem student records and e-mail the results weekly.
“
Now, staff members can identify data elements that might be problematic, then develop a query in Argos to check if any student records evidence that situation. We can set up a scheduled report to run the query and e-mail the results to the staff member on a weekly basis. No one has to remember to run a report, because Argos handles it and gets the results directly to those who need to see.
