The challenge
Growth outpaced Access and baseline reports
Imperial Valley College (IVC), a public community college in Imperial, California, experienced significant growth. But that success didn’t come easy.
For many years, IVC used Microsoft Access as its database and Ellucian Banner for baseline reports. These options felt limited when it came to design and format. The college needed a true reporting solution.
Limited tools
Access and baseline reports felt limited in design and format.
Ad hoc needs
Management and staff needed reports with more specific data and formats.
Delivery by hand
Reports were generated and sent to a list of people manually.
Distributing reports manually was both inefficient and time consuming. Ultimately, IVC was restricted by what was available to it and chose to see what else it could do.

The solution
An Argos account for every full-time employee
Already using FormFusion and IntelleCheck from Evisions, IVC decided to add Argos to its lineup. After comparing functionality, ease of use, and pricing against other reporting platforms, it was the wide range of capabilities for the price that decided it.
Argos is now used daily by departments such as HR, Finance, Financial Aid, Instruction, Business Office, and Student Success. The enterprise licensing model let IVC give every full-time employee, and many part-time employees, an Argos account. That was vital: almost every employee at IVC uses Argos at least once, if not on a regular basis.
Reports that send themselves
Argos’s Scheduling & Delivery feature has helped IVC overcome the pain of manually generating reports and distributing them to a list of people. Banded reports such as the Faculty Load Report are now generated and emailed automatically every day, as are the CSV files one of the college’s third-party systems requires.
| Before | With Argos |
|---|---|
| Microsoft Access and baseline Banner reports | A true reporting platform used daily across departments |
| Reports generated and distributed by hand | Banded reports like the Faculty Load Report emailed automatically every day |
| Ad hoc needs limited by design and format | Custom reports built in hours or days, depending on complexity |
Though Argos has many functions and elaborate capabilities, the system is easy to learn. IVC’s Senior Programmer/Systems Analyst in IT Application Services went from knowing absolutely nothing to creating complex reports in a couple of weeks, after watching the recorded online training sessions.
IVC has also used the Evisions CO-OP to get ideas from other institutions: to see what other Argos users are doing, how they’re doing it, and to avoid reinventing the wheel if a solution is already out there.
More than reporting
IVC uses Argos as an electronic input form, like an application, to collect input from the user and push that data into the database. That has let the college build electronic multi-approval requests: Leave Requests, Change of Program for students, Abbreviated EdPlan, Graduation Application, the Administrators Interactive Service Days Calendar, Medical Benefits Change, and Part Time Office Hour.
“We really appreciate being able to request the data we need and get it in a format that we can generate easily on demand.”
Lisa Seals · Director of Financial Aid

Argos allowed us to consolidate reports into a centralized location through a web browser. Prior to Argos, reports and data were scattered across different tools on employee desks in various formats. Through Argos, reports are sustainable and manageable.

The results
The right data, to the right people, on time
Since implementing Argos across all departments, the main benefit for IVC has been the ability to get accurate, well-formatted information to the appropriate audience in a timely manner.
Users can create reports in a matter of hours or days, depending on complexity, to make data-driven decisions. For the end user, that means access to data from different departments on demand.
Used across campus
HR, Finance, Financial Aid, Instruction, Business Office, and Student Success use Argos daily.
Delivery on autopilot
Banded reports and third-party CSV files are generated and emailed daily.
Approvals go electronic
Leave requests, graduation applications, and more run as multi-approval forms.
Ideas from peers
The CO-OP shows what other Argos users do, so IVC avoids reinventing the wheel.
Over time, IVC has seen Evisions continue to improve Argos’s features and functionality, almost always based on client feedback. To the college, that is a sign that Evisions has its reporting success in mind, and it is why IVC continues to choose Argos.

Argos gives us the ability to produce many kinds of reports which makes our jobs much easier.
